Privacy Policy

1. Overview
Taikai App ("Taikai," "we," "us") is a karate tournament management platform operated by Kime Soft and available at taikaiapp.com, including tournament sites we operate on partner domains (for example, copamurayama.com). This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It applies to tournament directors, athletes, coaches, judges, staff, and parents/guardians who use the Service.
The short version: we collect the information needed to run karate tournaments — registrations, competitor profiles, waivers, payments, and event communications — and we do not sell personal information to anyone.
2. Information We Collect
- Account information. Name, email address, and a password (stored hashed — we cannot read it). Directors may also add tournament and organization details.
- Competitor profiles. To place athletes in the correct divisions, profiles can include name, date of birth, gender, belt rank, weight, nationality, club or dojo affiliation, and an optional profile photo. Registration forms may include additional fields the tournament director configures.
- Minors' information. Competitor profiles for children include the child's name and date of birth, plus a parent/guardian email address. See Section 3.
- Waiver signatures. When a liability waiver is signed electronically, we record the signer's name, the signature timestamp, and the IP address used to sign, and store the signed waiver for the event's director.
- Payment information. Payments are processed by Stripe. We receive confirmation of payment and transaction metadata (amount, session identifiers), but full card numbers never touch our servers.
- Communications. Messages you send through the contact form, feedback and bug reports, and support emails.
- Usage and technical data. Standard server logs (IP address, browser type, pages requested) used for security and troubleshooting.
3. Children and Parental Consent
Karate tournaments include child competitors, so the Service necessarily handles minors' information — names, dates of birth, division placements, and results. We design for this:
- Profiles for minors are created and managed by a parent/guardian, or by a tournament director or club on the family's behalf — minors do not sign themselves up independently.
- Our guardian confirmation flow links a minor's profile to a parent or guardian: the guardian receives an email and must confirm the relationship before managing the minor's account.
- Waivers for minors must be signed by a parent or legal guardian.
- We collect only the information needed to run the competition, and we do not use minors' information for marketing.
If you believe a child's information was submitted without appropriate parental consent, contact us at hello@taikaiapp.com and we will investigate and delete it where required.
4. How We Use Information
- Operating tournaments: registration, competitor approval, division assignment, brackets, scoring, schedules, and results;
- Sending transactional email: registration confirmations, guardian confirmations, waiver requests, account notices, and event notifications;
- Processing payments (credit purchases by directors; entry fee checkout for participants);
- Providing support and responding to messages;
- Securing the Service, preventing abuse, and debugging;
- Improving the product based on how features are used.
We do not sell personal information, and we do not use competitor or minor data for advertising.
5. What Other Users Can See
Tournaments are public events, and some information is visible by design:
- Directors and their staff can see the registration information of competitors registered for their events, including waivers, so they can run the event.
- Coaches may see information about competitors affiliated with their club for events they attend.
- Public event pages, brackets, scoreboards, and results can display competitor names, club affiliation, division, and placement — the same information traditionally posted on the wall at a tournament venue.
Sensitive fields such as dates of birth, contact details, and waivers are not shown on public pages.
6. Sharing With Service Providers
We share information only with the providers needed to run the Service:
- Stripe — payment processing for credit purchases and, where a director has connected their own Stripe account, entry fee payments. Stripe processes your payment details under its own privacy policy.
- Resend — our email delivery provider, which processes recipient email addresses and message content in order to deliver registration, guardian, waiver, and notification emails.
- Hosting and infrastructure providers that store and serve our application and database.
We may also disclose information if required by law, or to protect the rights, safety, or property of users or Kime Soft. If Kime Soft is involved in a merger or acquisition, user information may transfer with the business, subject to this policy.
7. Cookies and Local Storage
We keep tracking to a minimum:
- Authentication cookie. When you sign in, we set a session cookie (named
token) that keeps you logged in. It is HTTP-only and secure, and it is essential — the Service cannot work without it.
- Preferences. We use browser local storage for preferences such as your language choice (English or Spanish) and dismissed banners.
We do not use third-party advertising cookies or cross-site trackers on the Service.
8. Data Retention
We keep information for as long as it is needed for the purposes above:
- Account and profile data is kept while your account is active;
- Tournament records (registrations, brackets, results) are kept so directors and athletes can reference past events;
- Signed waivers and payment records are kept for legal and accounting purposes;
- When you request deletion (Section 9), we delete or anonymize your personal information except where we are required to keep it — for example, payment records and signed waivers that the law or a legitimate legal interest requires us to retain.
9. Your Rights and Choices
You can view and edit your account and profile information in the app. In addition, you (or a parent/guardian acting for a minor) can email hello@taikaiapp.com to:
- Access a copy of the personal information we hold about you;
- Correct inaccurate information;
- Delete your account and personal information, subject to the retention exceptions in Section 8;
- Object to a particular use of your information, or ask questions about this policy.
We respond to verified requests within a reasonable time, and where local law (such as Mexican data protection law or applicable US state law) grants you specific rights, we honor them.
10. International Users
Taikai App serves tournaments in the United States and Mexico, and the Service is available in English and Spanish. Our servers are located in the United States, so if you use the Service from outside the US — including from Mexico — your information is transferred to and processed in the United States. By using the Service, you understand that your information will be handled as described in this policy regardless of where you access it from.
11. Security
We use industry-standard measures to protect your information: encrypted connections (HTTPS), hashed passwords, HTTP-only authentication cookies, and role-based access so users only see the data their role requires. No system is perfectly secure, so we encourage strong, unique passwords. If we learn of a breach affecting your personal information, we will notify affected users as required by law.
12. Changes to This Policy
We may update this policy as the Service evolves. If we make material changes, we will update the "Last updated" date above and take reasonable steps to notify account holders (such as email or an in-app notice). Your continued use of the Service after changes take effect means you accept the updated policy.
